Managing Email Recipients

Target specific guest segments and manage recipient lists for campaigns. Filter by RSVP status and add contact lists for executive events.

You can add recipients to your campaigns in several ways. Choose the method that works best for your situation.

When you’re creating or editing a campaign, you can pull recipients directly from your guest list.

  1. Open Add Recipients

    In your campaign, click Add Recipients.

  2. Choose Your Filter

    Select which guests to include:

    • Guest List: Your complete guest list
    • Accepted: Guests who RSVP’d yes
    • Declined: Guests who RSVP’d no
    • Maybe: Guests who RSVP’d maybe
    • Pending: Guests who haven’t responded yet
  3. Add Your Recipients

    Click individual names to select specific guests, or click + Add All Guests to include everyone in your chosen filter.

This method works well when you want to send a message while reviewing your guest list.

To send a new or existing campaign:

  1. Select Guests

    From your guest list, select the guests you want to message.

  2. Choose Send Message

    From the green menu, click Send Message.

  3. Pick Your Campaign

    Select a previously sent campaign from the list, or choose blank to start a new message.

To add recipients to a draft you’re working on:

  1. Open Your Draft

    Navigate to the draft campaign you want to add recipients to.

  2. Go to Guest List

    Navigate back to your guest list.

  3. Select and Add Guests

    Select the guests you want to add, then click Send Message from the green menu and press Add to Current Draft.

Contact method groups let you send campaigns to multiple email addresses or include CCs for a single contact. This is useful when you need to reach assistants or multiple stakeholders.

Setting up contact method groups:

  1. Edit Contact Profile

    Go to the contact’s profile and click Edit.

  2. Add New Group

    Find the Contact Method Group section and click + Add Another Group.

  3. Configure Group Settings

    Name the group, add the primary email addresses, and include any CC emails needed.

Using contact method groups in campaigns:

  1. Find the Recipient

    In your campaign, locate the recipient whose contact method you want to change.

  2. Select Contact Method

    Click the dropdown arrow next to their name and select the desired contact method group.

This feature shows you who didn’t receive a specific campaign and lets you send it to them or create a new campaign.

  1. Open Sent Campaign

    Navigate to campaigns and click into the campaign you want to review.

  2. View Missing Recipients

    In the left column, select Not Sent To to see who didn’t receive the campaign.

  3. Choose Your Action

    Select the guests you want to include, then:

    • Click Send Campaign or Schedule Campaign to send them the same message
    • Click Create a New Campaign to start fresh with these recipients

Duplicate campaigns when you want to reuse content but make changes to the sender, reply-to address, or message content.

  1. Find Your Campaign

    Go to your campaigns tab and open the campaign you want to duplicate.

  2. Create Duplicate

    Click Duplicate to create a copy you can modify.

Why would I duplicate a campaign?

Duplicating lets you modify a campaign that’s already been sent. You can change the sender, reply-to address, or content while keeping the same recipient list and basic structure.

How do I add multiple emails for someone or send to their associated contact?

Use contact method groups and associated contacts through the contact profile. Associated contacts are automatically CC’d, but you’ll need to manually select contact method groups within each campaign. Learn more about contact relationships.
