Tracking RSVP & Attendance Status

Monitor RSVPs and attendance in real-time for private events. Track acceptances, declines, and check-ins with CRM integrations for VIP gatherings.

Track your guest responses and attendance in real-time to make informed decisions about your event. Here’s how to understand and use the RSVP and attendance data Gatsby provides.

Once you send invitations, the RSVP status column shows where each guest stands in your invitation process:

  • Invited: You sent a campaign that included their personalized RSVP link
  • Clicked: They clicked the RSVP link but haven’t responded yet
  • Declined: They opened the link and declined to attend
  • Canceled: They changed their RSVP from accepted to declined
  • Acceptance: They opened the link and accepted the invitation
  • Waitlist: They registered for the waitlist
  • Maybe: They selected “I Will Confirm Later” on the RSVP page
  • Bounced: Their email bounced back
  • Failed: Email delivery failed

After you check in guests at your event, the attendance column shows:

  • Attended: They showed up to the event
  • No Show: They didn’t attend despite their RSVP
  • Blank: You haven’t marked them as attended or no-show

Can I update RSVP status on behalf of guests?

Yes. Click on any RSVP status field to see a dropdown with available options. When you mark a guest as accepted, you can choose whether to send them a confirmation email.

What’s the easiest way to share a list of accepted guests?

  1. Go to the accepted tab

Click the “Accepted” tab in your guest list.

2. Access sharing options

Click the dropdown arrow and select “Get View Only Link.”

  3. Enable and copy the link

Enable the link for the accepted tab, then copy the generated link to share with your team.

Can I send RSVP and attendance data to my other systems?

Gatsby integrates with Salesforce, Affinity, and Zapier. Check their individual help pages to see what data transfers between systems.
