Emergency Fixes

Quick solutions for urgent event issues. Fix registration errors, emails not sending, check-in problems, and badge printing failures when your event is live.

Most issues have workarounds!

When standard fixes don’t work and your issue is urgent:

  1. Email support with “URGENT” in subject
  2. Include screenshots of error messages/issues
  3. Specify your event date and attendee count
  4. Document what you tried from this list

Email copied to clipboard

Need to close registration immediately

RSVP settings » RSVPs dropdown (currently set to “Open”) » select Closed.

Existing accepted guests retain status.

Event link redirects to home page

Public Link was turned off.

Quick fix: Turn on the public link to your event from the “Public Link Off” button at the top when editing your event.

'Guest not found' error

Guest was removed from your list after the link was sent.

Quick fix: Use the “Restore Guests” option under the “Add Guests” menu to re-add them to your guest list (their original link should work again), or provide the Public Link instead.

Registration buttons not working

Check that your landing page template includes proper registration buttons.

Buttons don’t work on “view only” links.

Mobile registration broken

Switch to Advanced Editor Mode > set responsive breakpoints for mobile devices (>767px width).

Change width and height settings to Fill/Full (don’t use fixed size settings above ~300px).

Event over capacity

Set event to Closed or Waitlist.

Can’t remove accepted guests automatically.

Options:

  • Contact overflow guests personally
  • Use waitlist functionality to confirm guests as others cancel

Accidentally deleted important guests

Check Restore Guests under “Add Guests” option in your event.

Email sending: Emergency workarounds

Email sending when all else fails:

  • Create shareable Public Link and distribute manually
  • Send from personal email as backup
  • Use BCC for small groups (under 50)
  • Use other communication channels (Slack, What’s App) to share RSVP links

Confirmation emails not sending

  1. Check RSVP » Email Settings. Ensure confirmation emails are enabled.

  2. Quick fix: Change “Send from” to default @mail.gatsby.events sender address.

  3. Test: Add yourself to the guest list » change your RSVP to Accepted » choose to send confirmation email.

  4. Alternative: Send manual campaign with confirmation details and calendar invite.

  5. Contact Gatsby support

Calendar invites missing

  1. RSVP » Email Settings » check Calendar Invite Attachment is enabled.

  2. Check Calendar Invite State column on the guest list for “Up to Date” statuses.

  3. Quick send: Change RSVP status to Accepted » choose to send confirmation email or select “Calendar Invite Only” from select menu.

Sent emails to the wrong people by mistake

Can’t unsend emails.

Quick fix: Remove from guest list. Their RSVP links will stop working (show “Guest not found” error).

Damage control: Send follow-up explaining the error and asking to disregard.

Test links were sent to real guests

Test links do not save information.

Reach out to Gatsby Support (use URGENT in subject line) to have test links redirect to your event’s public link:

Walk-Ins and unexpected arrivals at the door

Method 1: Manually Add at Door

  1. New Contact: Using Check-in interface » + Create button » enter name/email » toggle Check in on add.

  2. Plus One: click into an existing guest’s profile from the check-in tool first to add/associate a plus one with that guest.


Method 2: Guests Self-Register at Door

Display Public Link QR code » walk-ins scan with phones » register themselves » you check them in

Badge printer won't connect

  • Make sure Bluetooth is enabled on iPhone/iPad and the printer
  • “Forget Device” in Bluetooth settings on iPhone/iPad
  • Turn printer off and on again
  • Try resetting Brother QL-820NWB printer

Badge print errors/issues

Remove and re-install the paper roll in the printer.

Check paper roll type. Change Paper Settings under main settings menu in Check-In app.

QR codes won't scan

  • Adjust lighting (too bright or too dark breaks scanning)
  • Ensure camera permissions are enabled
  • Check that the QR code isn’t damaged/blurry
  • Fallback: Use manual name search
